Project Coordinator

We are seeking to hire a Project Coordinator to support a capital projects program, working from a project office in Boston The Project Coordinator will provide support to the capital projects team and will implement consistent processes between projects within the program.

Essential Job Duties

  • Provide support to Project Managers and Accountants on multiple projects during all phases of construction.

  • Coordinate the scheduling of meetings as needed, including setting up and breaking down of conference rooms.

  • Monitor, review, download from Project Website and file RFIs, field orders, logs and submittal process on projects.

  • Assist with project administration deliverables (i.e., meeting minutes, budget tracking, schedule updates, monthly invoices, closeout, etc.)

  • Manage relationships and interface with vendors, designers, general contractors, architects and client staff on a variety of construction project related tasks.

  • Maintain record set of documents to include drawings and CAD files.

  • Assist Project Managers in the preparation and administration of Bid, Contract and Construction documents.

  • Assist in monitoring the general contractor’s schedule.

  • Coordinate, as needed, change order process.

  • Attend, as needed, design meetings and follow up on action items.

  • Attend and participate in on-site and off-site construction meetings, taking notes to check against Meeting Minutes as prepared by the general contractor and/or design team.

  • Assist in administering punch list and project close-out activities, including acceptance and completion of project.

  • Assist Project Managers in the preparation of monthly progress reports for management.

  • Assist Project Managers and Accounting in the review and preparation of Monthly Draws.

  • Maintain the highest level of tenant and vendor relations and departmental standards for quality of work.

  • Support the Operations Partner with specific projects as directed.

 

Qualifications

  • A Bachelor’s Degree or equivalent work experience in construction

 

Required Skills

    • Strong organizational and coordination skills

    • Proficient with Microsoft Office Suite, and Adobe Acrobat Pro or Bluebeam Revu

    • Excellent interpersonal and written communication skills

    • Excellent time management skills and ability to meet deadlines

    • Ability to work independently without detailed direction or supervision

    • Flexible and able to readily adapt to changing priorities
