Project CoordinatorWe are seeking to hire a Project Coordinator to support a capital projects program, working from a project office in Boston. The Project Coordinator will provide support to the capital projects team and will implement consistent processes between projects within the program.
Essential Job Duties
- Provide support to members of the capital projects team on multiple projects during all phases of construction.
- Coordinate the scheduling of meetings as needed, including setting up and breaking down of conference rooms.
- Monitor, review, download from Project Website and file RFIs, field orders, logs and submittal process on projects.
- Assist with project administration deliverables (i.e., meeting minutes, budget tracking, schedule updates, monthly invoices, closeout, MBE/DBE compliance, etc.)
- Manage relationships and interface with vendors, designers, general contractors, architects and client staff on a variety of construction project related tasks.
- Maintain record set of documents to include drawings and CAD files.
- Assist Project Managers in the preparation and administration of Bid, Contract and Construction documents.
- Assist in monitoring the general contractor’s schedule.
- Coordinate, as needed, change order process.
- Attend, as needed, design meetings and follow up on action items.
- Attend and participate in on-site and off-site construction meetings, taking notes to check against Meeting Minutes as prepared by the general contractor and/or design team.
- Assist in administering punch list and project close-out activities, including acceptance and completion of project.
- Assist Project Managers in the preparation of monthly progress reports for management.
- Assist Project Managers and Accounting in the review and preparation of Monthly Draws.
- Maintain the highest level of tenant and vendor relations and departmental standards for quality of work.
Qualifications
- A Bachelor’s Degree or equivalent work experience in construction
Required Skills
- Strong organizational and coordination skills
- Proficient with Microsoft Office Suite, and Adobe Acrobat Pro or Bluebeam Revu
- Excellent interpersonal and written communication skills
- Excellent time management skills and ability to meet deadlines
- Ability to work independently without detailed direction or supervision
- Flexible and able to readily adapt to changing priorities
